It’s been a summer of learning & implementing a ton of AI into my business.
In this post, I’m pulling back the curtain and showing you my custom GPT army I’ve created, along with how I built them and what they do.
Maybe that will help you do the same!

My custom GPT army does so much heavy lifting and even the little tasks end up making a BIG difference, especially on jam-packed days.
Also, if you’ve been following, I’ve suffered from ongoing burn out. So I’m practicing what I preach and taking serious steps to AI-ifying my own business. I feel it’s started to help alleviate that.
AND, I swear they save me money.

Ok, let’s get into it.
Here’s a look at what I currently have from my ChatGPT account (I’m still going to be building a couple more!):
I’ve also kept track of all these GPTS (complete & in progress) on a Notion database I made, which you can get yourself here. It really helps organize all the parts and lets me know what still needs to be done.
Why don’t we go through a couple of my Custom GPTS in detail?
Starting off with…
1. Call Client Witch
What: Very simply, this GPT analyzes and keeps track of all my client calls.
Why: I have on average 2-3 client calls per week from monthly retainer clients, on top of two repeating team calls for one large client of mine. And this doesn’t count any lead calls I get for potential new clients.
Suffice to say, your girl has a lot of calls (at least for me!). And with that, comes a lot of data!! 🤓AND, this is the perfect reason to build a custom GPT, if you are looking for one.
Knowledge base: I’ve uploaded all my call transcripts I have from Fathom (my AI notetaker & recorder) into Google docs. FYI, if you click that link and join, you’ll get 3 months free of Fathom premium. Trust me It’s worth it!
Instructions: I’ve instructed this GPT (along with a ton of other things; it’s almost 5 pages long) to:
Evaluate Service Delivery and Performance
Identify Patterns and Themes
Detect Omissions, Hesitations, or Avoidance
Spot Scope Creep and Misalignment
GPT in action: I recently asked it to review my recent calls with one client of mine. Here’s some of the insightful feedback my GPT provided. (I’ve redacted the client name for privacy ofc.)
Pretty good right? It also gave me a detailed summary of each of the calls, along with performance review, client sentiment, and patterns. Basically everything I asked it to do in the instructions.
I find this really helpful rather than just reviewing the summary notes.
I have more of an analysis with action steps to take and things to be aware of, beyond what Fathom already provides. There’s some thinking there, beyond regurgitation.

2. Colt the Proposal Cowboy
Yes, you might chuckle with the name of this GPT. It’s a character from a cowboy romance series. Don’t judge me. The world sucks. (Reply to this email if you want the name of the series; I know you want to know!)
Ok, back to the GPT at hand:
What: Helps to write the copy for proposals for potential clients. I then take this copy and put it into a Canva template.
Why: I’ve never liked spending tons of time writing proposals for potential clients. I’m very straightforward about what my service will cover on a discovery call. I usually regurgitate that in a recap follow up email, and then leave it up to them.
However, I recently had a current client ask me about one of my project services and she needed something written down. And thus Colt the Proposal Cowboy was born.
Knowledge Base: For this GPT, I uploaded my brand guidelines, pricing & service guides, links to all my service pages on my website, and sample of a previous proposal I made sans GPT.
Instructions: This GPT has been instructed to refer to everything in the knowledge base, which I’ve listed in the instructions and labeled clearly, and ask me follow up questions such as:
What type of service is this proposal for? (AI Consulting, VA, OBM)
Who is the client? What do they do?
What are their current pain points or challenges?
What have they expressed they need help with?
Have they indicated any goals, timelines, or priorities?
Have they worked with a VA/OBM/consultant before?
What kind of communication or tools do they prefer?
GPT in Action: I asked it to help me out with an AI consulting lead, as they had asked me specific questions. ⬇️👀

And here’s a snippet of the proposal it wrote for me. I’m fairly happy with it – some corrections needed to be made. But all in all, this saved me time and stress.

P.S. I know that this is an AI blog post and I usually reserve my political and other thoughts for more casual content. But I can’t stop thinking about what’s going on in Gaza. It breaks my heart and I cry very often about it.
But we are not helpless. We can speak up, learn, educate, donate, and pressure our political representatives (sign petitions, email & phone our MPs and the Minister of Foreign Affairs, Anita Anand). Canada is complicit in genocide too. Again.
